{"id":43,"date":"2018-05-21T18:55:35","date_gmt":"2018-05-21T18:55:35","guid":{"rendered":"http:\/\/sites.warnercnr.colostate.edu\/restoration-conference\/?page_id=43"},"modified":"2022-04-08T16:38:49","modified_gmt":"2022-04-08T16:38:49","slug":"presenter-guidelines","status":"publish","type":"page","link":"https:\/\/sites.warnercnr.colostate.edu\/restoration-conference\/conference-program\/presenter-guidelines\/","title":{"rendered":"Presenter guidelines"},"content":{"rendered":"<div class=\"wpb-content-wrapper\"><p>[vc_row][vc_column][vc_toggle title=&#8221;Technical &#038; Organized Sessions and Keynote Speakers&#8221;]<\/p>\n<ul>\n<li><span style=\"font-weight: 400;\">Please <\/span><a href=\"https:\/\/docs.google.com\/spreadsheets\/d\/1cwBuCfweTGMAE3TFhBaqai8E4wV_E6vi\/edit#gid=227884654\"><span style=\"font-weight: 400;\">check the program<\/span><\/a><span style=\"font-weight: 400;\"> for your assigned speaking day, time, and room.<\/span><\/li>\n<li><span style=\"font-weight: 400;\">All contributed and most organized session presentations should be 15 minutes followed by 5 minutes for questions (the one exception is the Seed Mix organized session where talks are shorter).\u00a0 Keynote presentations are 25 minutes followed by 5 minutes for questions.\u00a0 Session moderators will strictly enforce time limits. Session moderators will alert you when you have five minutes left, and again when you have one minute remaining.<\/span><\/li>\n<li><span style=\"font-weight: 400;\">A laptop with Microsoft PowerPoint will be available at the podium with preloaded presentations.\u00a0 Please contact us if you plan on using something other than PowerPoint.<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Please format your presentations for on-screen 16:9 size (in PowerPoint format page settings).<\/span><\/li>\n<li><span style=\"font-weight: 400;\">PowerPoint files from all speakers need to be uploaded at least 3 hours prior to the session start time.\u00a0 Bring your presentation on a USB thumb drive to the registration desk for uploading or email your PowerPoint file to: <strong>mark.paschke@colostate.edu<\/strong> prior to April 13.<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Room 324 at the conference venue will serve as our speaker-ready room. Speakers and session moderators are welcome to use this room to meet, hang out, and\/or prepare for their sessions. <\/span><\/li>\n<\/ul>\n<p>[\/vc_toggle][vc_toggle title=&#8221;Poster Presenters&#8221;]<\/p>\n<ul>\n<li><span style=\"font-weight: 400;\">Poster number assignments will be posted in Ballroom C\/D.<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Contributed posters are intended to be equally prestigious as contributed oral presentations.\u00a0<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Poster boards are 4 feet tall by 8 feet wide.\u00a0 We recommend a poster size of 3 feet tall by 5 feet wide, but you are free to scale as needed if it fits on the 4\u2019 x 8\u2019 board.\u00a0\u00a0<\/span><\/li>\n<li><span style=\"font-weight: 400;\">There is no guidance for poster format or style but we encourage you to use large fonts that can be read from a distance. If you are not familiar with how to prepare a poster, the Ecological Society of America and other societies have many <\/span><a href=\"https:\/\/f1000research.com\/browse\/posters?selectedDomain=posters&amp;subjectAreas=399&amp;selectedConferences=\"><span style=\"font-weight: 400;\">examples online<\/span><\/a><span style=\"font-weight: 400;\"> from their previous conferences.<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Poster presenters are welcome and encouraged to bring handouts such as 8.5 x 11 or 14\u201d copies of their posters for distribution.<\/span><\/li>\n<li><span style=\"font-weight: 400;\">There will be one poster session on the evening of April 13.<\/span><\/li>\n<li><span style=\"font-weight: 400;\">You are required to be at your poster and available for discussion during this formal poster session.\u00a0 You are encouraged but not required to be at your poster during breaks throughout the conference.<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Your poster should be put up on your assigned poster board (the program will list your poster number and boards will be numbered to help you find your spot) by 10am on April 13.\u00a0<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Posters attach to the boards using thumbtacks. You are welcome to bring your own tacks or use those that will be provided.<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Your poster should be removed between 1pm and 3pm on the 14<\/span><span style=\"font-weight: 400;\">th<\/span><span style=\"font-weight: 400;\">.<\/span><\/li>\n<\/ul>\n<p>[\/vc_toggle][vc_toggle title=&#8221;Vendors&#8221;]<\/p>\n<ul>\n<li><span style=\"font-weight: 400;\">Vendors will be set up in Ballroom CD, which is the location of all session breaks and poster sessions.<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Vendor tables are 6\u2019 x 30\u201d.\u00a0 If you registered as a regular vendor you will have one table, if you registered as a large vendor you will have 2 tables.\u00a0 Two chairs will be available at each vendor table.\u00a0\u00a0<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Vendor tables will be pre-assigned and labeled with assignments prior to set up.\u00a0\u00a0<\/span><\/li>\n<li><span style=\"font-weight: 400;\">For set up on Wednesday morning, you can proceed directly to the conference registration desk on the second floor of the Lory Student Center any time after 7:00 am. In order to park a vehicle on campus, you must have a pre-purchased parking permit or pay for metered parking. In lieu of a physical parking permit, CSU collects license plate numbers for any vehicles that will be parked on-campus in both permitted and metered spots. Visit the <\/span><a href=\"https:\/\/pts.colostate.edu\/visitors\/\"><span style=\"font-weight: 400;\">Visitors page<\/span><\/a><span style=\"font-weight: 400;\"> on the CSU Parking &amp; Transportation Services website for more information on how to purchase a parking permit and to explore campus parking maps.<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Student volunteers will be available at the registration desk to help move display material from your vehicle to the Vendor area.\u00a0<\/span><\/li>\n<\/ul>\n<p>[\/vc_toggle][vc_toggle title=&#8221;Session Moderators&#8221;]<\/p>\n<ul>\n<li><span style=\"font-weight: 400;\">Session moderators are responsible for making sure all presentations are loaded and ready to go prior to session start.\u00a0 Check-in with student volunteers at the conference for updates.<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Session moderators will introduce each speaker and then keep track of time.\u00a0 Moderators will notify speakers when they have 5 minutes remaining and again when they have one minute remaining.\u00a0\u00a0<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Session moderators will oversee the question-and-answer session after each speaker.\u00a0 This includes making sure that everyone can hear questions and asking speakers to repeat the question as needed.\u00a0 Moderators should select audience members\u2019 questions or ask their own questions of the speakers if there are no questions from the audience.<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Moderators need to keep the overall session on time to ensure sessions do not go overtime.\u00a0<\/span><\/li>\n<li><span style=\"font-weight: 400;\">If speakers finish early moderators can either extend the question period or wait to start the next speaker on time and allow for an unscheduled break.<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Moderators are encouraged to contact their session speakers prior to or during the conference to ensure that speakers understand the strict time restrictions. Room 324 can be used by speakers and moderators for meeting at any time during the conference.<\/span><\/li>\n<\/ul>\n<p>[\/vc_toggle][vc_toggle title=&#8221;Student Volunteers&#8221;]<\/p>\n<ul>\n<li><span style=\"font-weight: 400;\">Each student volunteer needs to sign up for a shift.\u00a0 Students should arrive on time for their shift and check in at room 322 for assignments.<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Student duties include helping session moderators with microphones, loading presentations on conference computers, assisting with vendor setup and break down, assisting CSU Conference Services in the registration booth, directing conference attendees to event locations, ensuring that only registered attendees are allowed into the conference, and generally being available to help conference organizers with any needed tasks.<\/span><\/li>\n<\/ul>\n<p>[\/vc_toggle][\/vc_column][\/vc_row]<\/p>\n<\/div>","protected":false},"excerpt":{"rendered":"<p>[vc_row][vc_column][vc_toggle title=&#8221;Technical &#038; Organized Sessions and Keynote Speakers&#8221;] Please check the program for your assigned speaking day, time, and room.
